Job Description  Private and Corporate Events Co-ordinator

Responsible to: General Manager 

Role Summary:Working closely with the F&B team to ensure that events are well managed from booking stage to delivery. Liaise effectively with internal and external stakeholders. To work within the scope of sales and marketing targets to deliver business. To offer suggestions and ideas on how to create new opportunities and to maintain competitive advantage and remain on target. To have a specific knowledge of the key historical points of Killruddery estate, the orientation of the estate, current & upcoming events & the company ethos.

  • To manage from enquiry to contract all Corporate and Private hire (including tour) enquiries in conjunction with the Food and Beverage team . To ensure calendar and detailed event sheets and systems are updated and kept accurate

  • To be fully prepared for client meetings to ensure the successful conversion of leads.

  • To conduct professional & knowledgeable site visits of the premises to include; fore court, reception rooms in the Main House, relevant parts of the Formal Garden, Grain Store, Orangery, The Nook (activities)

  • To ensure all updates on upcoming events are communicated in-advance of the weekly production meeting.

  • To ensure clients are put in touch with the Food and Beverage liasons in a timely manner and ensure that all important information is effectively communicated in house.

  • To be on site to welcome the client, handling any needs they may have before they are handed over to the food and beverage team.

  • To ensure follow up calls are conducted with clients 24hrs after their event and information logged and any relevant actions taken.

  • Provide reports on a weekly/monthly basis to senior managment as required.

  • To keep Senior Managment informed of new opportunities that become visible in your office.

  • To deputise for the wedding coordinator for holidays or absence, ensuring that you have a weekly update on each other’s work, so that you can deputise for each other

  • To co-ordinate a series of in-house events listed in our Event Programme.

Guest Care:

  • To be aware of the Killruddery brand and ethos and conduct oneself in accordance with these documented standards in order to create positive and trusting relationships with all clients. Present a positive personal image to the customer.

  • The needs and feelings of the customer are anticipated and responded to appropriately and kept in balance with the needs of the organisation and the customers’ expectations.

  • Feedback from guests is actively solicited and complaints communicated and rectified without delay.

Working Hours

  • Flexible in working hours weekend and eventing work is required.

Two years in a similar role

Event Management Qualification

Excellent administrative and IT skills A customer service/sales background
